The hard case

At a wedding there isn't just one way of charging

Hardly any celebration is "all inclusive" from start to finish. Two or three ways of charging usually coexist on the same night, and that's where control of the bar is lost.

Scenario one

All inclusive

Food and drink are in the per-guest price. Nobody pays anything at the bar, but it pays to know what was actually drunk: that's what justifies next year's price.

Open bar until a set time

After three, whoever wants to carry on pays their own way. That switch is usually done by eye, with the cash box open on the bar.

The premium gin, the cocktail bar, the extra hours. Guests don't pay for those: they go on the final invoice to the couple or the company.

The practical part

It works at a venue in the middle of nowhere

Plenty of beautiful venues sit where no decent internet line reaches, or have WiFi meant for the office rather than for 150 guests. The kit can bring its own 4G router with a battery, so the bar doesn't depend on the venue's network.

Floor staff work from their own phone, in the browser, with nothing to install: for extra help coming in just for that Saturday, it's one user and done. The only thing worth checking beforehand is that the venue has mobile coverage.

Questions

What venues ask us

Can I switch from open bar to paid bar in the middle of the night?

Yes, and that's exactly the moment when things usually get out of hand. You switch the active menu on the screen and from then on every drink is charged and printed. Whatever was served before stays recorded as included.

We're a venue and we work with a different caterer every weekend.

Then what suits you is for the kit to be yours and the menu to change: you can keep several saved menus and pick the one for that day's event. Tell us how many different suppliers come through and we'll set it up that way.

Does someone need to know how to operate it?

Whoever is serving only taps the drink and the charge button. Setting up menus and reading reports is handled by one person, and we leave that ready before your first wedding.

Can an invoice be issued to the company holding the event?

Yes. You can give a guest a receipt and a full invoice to the company or the couple for the extras. If a receipt was already handed over and an invoice is needed afterwards, the corresponding replacement document is issued.

We only have weddings from May to October. Do I pay all year?

No. Rental is month-to-month with fifteen days' notice: you pay for the season and return the kit when it ends. The following year it's set up again with your menus already loaded.
