Rental for fairs and festivals

Three bars, twelve staff, one single cash-up

Rent the terminals for the days the site is open. Each bar takes its own money and you see, on the same screen, how much came in at each one and how much went through each pair of hands.

The real problem

The money isn't lost at the bar. It's lost in the count.

At a site with several bars, a shortfall is almost never theft: it's that nobody knows how much should have been there in each till. Money is taken by hand, jotted on paper, and at the end of the night there's a pile of notes and nothing to check it against.

How it's usually done

Each bar with its own cash box and a laminated price list. At closing you count the cash and compare it against… nothing. If it's short, there's no way to tell whether it was wrong change, a drink given away or a round that was never charged.

With one terminal per bar

Every drink is recorded with the person who served it and how it was paid for. At closing, the screen tells you how much cash should be in the drawer and how much went through the card reader. The shortfall stops being a mystery and becomes a number.

Timeline

From the van to the first pint

Days before

We load your menu and your bars

You send us the prices and what each point sells. We leave each bar with its own menu, so the cocktail bar doesn't show sandwiches.

Set-up

Switch on and it's already on the network

The kit's 4G router broadcasts the usual WiFi, so screens and printers find each other on their own. You don't depend on the site having a line, or on the electrician having reached your stand.

Half an hour before

The team logs in

Each person opens the browser on their phone and logs in with their user. No apps to install, no cables to run. Extra help arriving at the last minute is working within a minute.

During

Orders come out at the right printer

Drinks at the bar, food at the grill. If a printer runs out of paper, you keep taking money: the receipt can be reprinted afterwards.

At closing

Cash-up per bar and total for the site

Each supervisor closes their point and counts against the figure on the screen. You get the day's total and the breakdown of what sold most, which is what you need to order stock for the next day.

Pricing

Rented per till point

75 € /month per point

One screen, one printer and the iTaula licence per bar. Three bars means three kits; if one of them only takes cards, it's set up lighter and costs less.

  • iTaula licence included in the fee, no separate software charge
  • Unlimited staff from their own phones, no per-user cost
  • 4G router with SIM for the whole site, on request
  • Second kitchen printer per bar, on request
  • Cash drawer wherever there's cash, on request
  • No minimum term: give fifteen days' notice and return the kit

Prices exclude VAT. For a site with several till points we quote a combined figure: tell us how many bars and how many days and we'll send it closed.

Questions

What organisers ask

Does it hold up at peak time?

Each person works on their own phone, so there's no queue in front of one screen: the bottleneck is the hands serving, not the system. What is worth thinking about is how many printers you put in, because a single one printing for three bars becomes the funnel.

Staff change every day — is giving them access a hassle?

No. A user per person takes a moment to create, and when the event ends you disable whoever isn't coming back: they can't get in even with the session still open on their phone. Every order keeps the name of whoever took it.

What if the site has no internet?

That's normal on an open field or a showground, which is why the kit can carry its own 4G router with SIM. What you do need to check first is that there's mobile coverage at that location; on a big site packed with people it's worth looking into early.

Can I rent just for the festival weekend?

The rate is monthly with no minimum term, so a three-day event fits inside one month of rental. If you run several dates across the season, it works out better to keep the kit for the months of the tour than to set it up and take it down each time.

Can it work with tokens or prepaid drinks?

The system takes cash and card against your usual card reader. If your site runs on wristbands or tokens, tell us in the form and we'll say frankly whether it fits, before you rent anything.
